Systems thattalk to each other.

Not every process needs artificial intelligence. Where fixed rules are enough, we connect your systems so that data flows automatically and processes start on their own. Quick to implement and low running costs.

In short

Who this is for
and what changes.

Workflow automation pays off as soon as two systems hold the same data and somebody reconciles them by hand: shop and accounting, ERP and warehouse, payment provider and receivables.

We start with one single connection. It runs within days, and you decide from the result whether the next one is worth it.

This is probably not for you if data changes hands once a month. Doing it by hand is cheaper then.

Today

Orders are typed from the shop into the accounts by hand.

Afterwards

Every order is captured within minutes, with a document and a log.

Today

Stock never quite matches between shop, warehouse and till.

Afterwards

One system holds the stock, the others follow automatically.

Today

Payouts from Stripe, PayPal and Twint are matched one by one.

Afterwards

Payouts arrive reconciled, with fees cleanly separated.

Typical workflows

What can run automatically
without AI.

Many everyday tasks always follow the same pattern. A workflow takes such processes over and does not pause.

Orders and invoices

Orders from the shop land in accounting automatically, payments are reconciled.

Enquiries and customer data

Contact forms, emails and appointments are sorted into the CRM, customer data stays up to date everywhere.

Quotes and orders

An enquiry becomes a quote, an order and an invoice without entering data twice.

Warehouse and stock

Stock levels stay in sync across shop, marketplaces and warehouse.

Shipping and customer information

Shipping labels, tracking emails and status updates are created without anyone lifting a finger.

Data and reports

Exports, analyses and reports are generated and sent on schedule.

Notifications and approvals

The right people learn in good time what needs doing and approve with a single click.

Onboarding and internal processes

New employees, customers or suppliers are set up step by step, including access rights and documents.

Keeping data in sync between systems

Customer, product and price data is maintained in one place and updated everywhere.

francs is what an hour of work costs in Switzerland on average

One hour of copying and reconciling on every working day is around 14,000 francs a year. A connection is paid off early.

Overview

When is a workflow enough,
when do you need AI?

Workflow without AI

A workflow is enough when …

  • the inputs always have the same structure
  • the rules can be stated clearly
  • no interpretation of content is needed
  • speed and low running costs matter
AI Automation thinks along

AI comes in when …

  • content is unstructured, such as PDFs or emails
  • judgement or weighing up is required
  • texts, translations or images are produced
  • exceptions are frequent

The combination is often the strongest: The workflow controls the process, the AI handles the special cases. More on AI automation →

Integrations

What we
connect.

In principle, almost any application can be integrated, provided data access and process logic can be clearly defined. Commonly used are shop systems such as Shopify and WooCommerce, the accounting software bexio, and CRM, email and calendar systems.

In operation

Stable,
even when something goes wrong.

Errors are caught

If an interface does not respond, the workflow retries the step or sends a targeted alert.

Fully logged

Every run is traceable. You can see at any time what happened and when.

Monitored and maintained

We keep an eye on the processes and adapt them when systems or procedures change.

From the first calls

The three questions everyone asks.

Where this comes from, what it costs and who owns the data.

How do we know this works?

We connect systems through their official interfaces: Shopify and WooCommerce, bexio and other accounting packages, Stripe, PayPal and Twint, plus warehouse and shipping. What matters are the unglamorous details, meaning rate limits, expiring credentials, retries after errors and a log for every booking. That is exactly what we run in our own systems every day.

What does it cost?

A fixed price per connection and per process, instead of billing by the hour. Support optional and cancellable monthly. The binding quote follows after a short look at your systems.

Who owns the data?

On request the connection runs in your own accounts, so the credentials stay with you. Only what the process needs is transferred. As a processor we work under a contract based on Swiss data protection law, and every transfer is logged.

FAQ

Frequently asked questions.

The most important answers at a glance.

What is workflow automation?
A workflow connects systems according to fixed rules: an event such as an order or a form submission automatically triggers the next steps, for example an invoice in the accounting system or an entry in the CRM.
Which systems can be connected?
Shop systems such as Shopify and WooCommerce, the accounting software bexio, CRM, email and calendar systems, and almost any application with an API, webhook, export or database access.
When do you need AI instead of a workflow?
As soon as content is unstructured, judgement is required or exceptions are frequent. We often combine both: the workflow controls the process, the AI handles the special cases.
Who takes care of operations?
We do. The workflows are monitored, errors are caught and the workflows are adapted when your systems change.
What happens if an interface goes down?
The process waits and tries again instead of stopping. Anything that still does not go through after several attempts stays in a queue and lands on an exception list you are notified about. Nothing is lost, and nothing is booked twice once the system is reachable again.
Does the QR deadline of 20 November 2026 affect us?
If you create invoices with a QR code or trigger payment orders, yes. Since 22 November 2025 only structured addresses are allowed in newly created QR codes, meaning street, house number, postcode and town in separate fields. For payments there is a transition period until the SIC release of 20 November 2026, after which banks reject payments with unstructured addresses. If your shop stores addresses as free text, we split them cleanly before they reach your accounting.
What happens to our data?
Only what the individual process needs is transferred, and no more. On request the connection runs in your own accounts, so credentials and data stay with you. As a processor we work under a contract based on Swiss data protection law, and every transfer is logged.
Will we depend on core.iq afterwards?
No. On request the connection runs in your own accounts, you receive the access details and documentation of what happens where. Support is cancellable monthly, and the processes keep running even if you no longer have us look after them.
What if we change a system later?
We build the processes decoupled instead of stitching two programs together. If you later change your accounting package or your shop, only the part that talks to the old system is replaced. The rules in between stay as they are.
How long does a connection take?
A first, clearly defined connection usually runs within a few days. We deliberately start with one process, so you can judge from the result whether the next one is worth it instead of waiting months for a large project.
What does workflow automation cost at core.iq?
We work at a fixed price per connection and per process instead of by the hour. Ongoing support is optional and cancellable monthly. The binding quote follows after a short look at your systems.
