Shop to bexio

Orders become contacts, items and invoices, including credit notes, cancellations, foreign currency and the correct VAT rates.

Reconciling payments

Payouts from Stripe, TWINT or PayPal are split into revenue, fees and refunds and matched to the right invoice.

Dunning fees and interest

Fee and interest are calculated per reminder stage and added to the reminder. From a set stage or deadline the invoice goes out by registered mail.

Safer invoice payment

At checkout the system checks the customer’s open items in bexio. Above your threshold, payment by invoice disappears and prepayment remains.

Supplier invoices from the inbox

PDF invoices go from your inbox straight into bexio, with supplier, expense account and VAT rate. Duplicates are flagged, anything unclear goes to the exception list.

Subscriptions and recurring invoices

Recurring invoices are created automatically, including price changes, pauses and cancellations.

Keeping master data clean

What runs through the bexio API.

bexio provides an open REST API. It covers almost every area that costs time in daily work. Here is what each area allows and how an automation uses it.

Worth knowing. bexio does not push events by itself, there are no webhooks. Automations therefore poll at sensible intervals or start from an event in your shop, inbox or payment service. Access runs through OAuth 2.0 and is free of charge at bexio.
Contacts and addresses

Read, create, change and search contacts, additional addresses, contact groups, sectors, salutations and titles.

  • Customers from your shop, newsletter and CRM land in bexio as contacts, with duplicate checks.
  • Addresses are split into separate fields, as Swiss payment traffic requires from November 2026.
Quotes, orders, delivery notes and invoices

Create, change, send and track documents, including line items, discounts, VAT, payments and reminders.

  • Every shop order becomes the matching invoice, with a credit note on returns.
  • Dunning fee and late-payment interest are added automatically per stage, with an exception list and a log.
Supplier invoices, purchase orders and expenses

The listings of the common apps mention orders, products, customers, stock levels and tax rates. On payment methods, booking accounts, gift cards, fees and refunds they say nothing. Ask the provider before you decide, and compare it with our list.

Does bexio have an API for this kind of automation?
Yes. bexio offers a REST API for contacts, invoices, payments, entries, items and files. bexio does not push events by itself, so our automations poll at sensible intervals and react to events coming from your shop.
Which shops and systems can be connected?
Shopify and WooCommerce are the usual cases. Marketplaces, payment providers such as Stripe, TWINT or PayPal, warehouse and CRM systems and almost any system with an API are possible as well.
How long does the set-up take?
For the shop to bexio connection we plan two to four weeks, depending on payment methods, VAT cases and how clean your master data is. Further workflows are added one at a time afterwards.
Who has access to our accounting data?
That is decided by the operating model. If everything runs in your account, the credentials stay with you and we receive a support login. In managed operation we work as a data processor, with a contract, separate logins and a log.
What changes with the QR bill in November 2026?
Payments with unstructured addresses and an execution date after 20 November 2026 are rejected by the banks. Addresses therefore have to be held in separate fields. Our connection checks and structures addresses before they reach bexio.
What does a bexio automation cost?
The first connection is quoted at a fixed price, one-off and per process. Without support, in your own account, there is no monthly fee. We can run it for you on a monthly basis, up to 3’000 invoices a month included. Further workflows are quoted based on effort.
